  1. Clickable navigation, allows to quickly return to the previous folder

  2. Going level up in the directory tree

  3. Create the folder (normal or JQL type)

  4. Add multiple issues to the current folder using a JQL query (only standard folders)

  5. Add single issue to the current folder using issue link or issue key (only standard folders)

  6. Edit folder name or JQL query in the JQL folder type or link name and link url in the links

  7. Delete the selected item

  8. Create url link

  9. Reload the current folder content

  10. Move selected item to the chosen folder

  11. Extract the CSV file with the data displayed on the current screen (issues with selected fields as columns)

  12. Changing background color for the selected item

  13. Restoring the column configuration to the default view (the same as in the screenshot)

Types of the items

Directories

 

The plugin allows to create 2 types of folders:

Standard folder

Standard folder ( with the name: “some other folder” on the example screenshot (3) ) can hold all types of available items : issues, folders, links. It act similar to the folder in the computer allowing to group items. User can add any issue, regardless of the project.

 

JQL folder

It is a special type of the folder. The items in the folder are selected by the JQL query defined in the folder configuration. Items on the folder can be dynamically changes depends on the conditions included in the query. Thanks to that, the user can have more flexibility, he can for example:

  • Group issues by the status, assignee, reporter, date, field value

  • Group issues by any Jira issue field if is available in JQL query

 

Links

Links are just a container holding the url and the name describing this link. Links are very useful if the user want’s to group Jira tasks and some external resources in one place describing one business project, for easy access, for example, the links may pointing to:

  • Confluence pages

  • External Canva or Figma designs

  • External documentation

  • External files with some data

Issues

Issues are standard Jira issues, described by the issue key and summary. Each issue key is a link to the Jira issue page allowing to quickly preview or edit this issue without the need of leaving current view

Items creation

Creating directory

User can create the directory by clicking the “directory icon” from the menu bar :

  1. Mandatory directory name

  2. If checked then user can create a JQL folder and provide the JQL query for issues retrieval

  3. JQL query for dynamically selecting the issues in the folder.

JQL folders are more limited than standard folders, they not allow to :

  1. Add single issue, create inner directory, add the link, move other items to this folder

  2. Sort issues in the folder by clicking on the column header, sorting should be defined in the JQL query

Creating link

Link can be created by pressing the “link icon” ( 8 ) from the menu bar:

 

  1. Mandatory link name

  2. Mandatory link address

Created link is clickable, which means that if the user press the name, then the page with the saved url will be opened on the separate tab

Adding issues to the standard folder

Issues can be added to the folder in two ways

Adding single issue

After pressing this icon on the menu bar, an additional text field will be displayed. User can put the issue key or issue link to this text field. After pressing enter, the plugin will try to find the issue in the Jira instance. If the issue will be found, them will be added to the folder, otherwise an information about invalid issue key or link will be displayed:

Adding issues in a batch

It is also possible to add more then one issue at one time. This can be done using JQL query to select the candidates for the insertion.

After pressing this icon, a dialog window will be displayed with the text field allowing to define the JQL query. When the query will be defined, search icon will display all issues matching the query under this text field.

User can select as many issue as he wants from the dialog menu add them to the folder by pressing “save selected” button:

Customizing the view

Defining the columns

One of the best features of the plugin is the ability to customize the view of the issues list using the available Jira issue fields. User can configure the view which will display the data he is interested in.

Issues can have many fields and the most important data can lost in the detailed issue view.

Let’s take the following screenshot of some issue fields :

 

User is interested in to display only : Expenses, External priority, demo date, original estimate and time tracking. He can choose only these columns and have a following view:

 

After pressing this button, the list with the available fields will be displayed. User can also search the specific field using text field. After pressing the field name, the column will be added to the view.

Columns can be reordered. Column names are clickable and allows to chose the sorting column (field) and the order:

Choosing the item background

Sometimes is very useful be able to mark somehow the issues or folder in order to identify if these items have been discussed or there are some kind of risk related with the tasks, but just for personal use. The best option is to color the items. It can be done also in the folder view

Reorganizing items

Drag & drop

The plugin supports drag & drop mechanism to quickly reorganize the items.

JQL folders can’t be a destination for the moved items. Drag & drop feature doesn’t work in JQL folders

Move to

Drag & drop feature is very helpful for moving items around one directory level. If there is a need to move items to the another folder in located in the nested, external folder, then a “Move to” feature can be used.

It allows to choose any destination folder available in the Personal Tasks Manager, by displaying the dialog displaying the folders.

JQL folder can’t be a destination of the moved items. Drag & drop feature doesn’t work in JQL folders

Exporting the data to the CSV file

One of the unique features of the Personal Task Drive for Jira is the ability to export the custom data set from the Jira tasks to the CVS file which is compatible with any spreadsheet such as MS Excel, Google Spreadsheet or OS Numbers.

Combining the following features :

  • Dynamically selecting Jira issues using JQL query

  • Extracting only necessary and required data from the issues by defining the columns from the Issue fields

  • Extracting all data from the issue view to the CSV file

Allows to prepare business reports, charts, graphs in the more advance Business Intelligence software without the need of building custom integration between BI software and Jira or granting the access to the Jira only for reporting without the risk of accidentally exposing some fragile information

These data can be easily sent by email, or share by some share drive.

Sneak peek of all child tasks

Sometimes there is a need to have a good view on the progress of the epic and all child issues. One of the solution is to create a JQL query to select all child issues or add all child issues and epic to the standard folder.

Personal Tasks Manager for Jira automatically is creating this type of the view. If Jira task is an epic or contains the linked issues, the following icon is displayed, example:
